Bel Mar Coin Club Bylaws

Article 1 Title and Object

Section 1. This organization shall be known as the Bel Mar Coin Club, Hereafter called the “Club”.

Section 2. The objective of the Club shall be to encourage and dispense numismatic knowledge and to cultivate social relations among the members. Individual members will have no proprietary interest in the Club, but will derive benefits exclusively through participation in the activities for which the Club is formed.

Article 2 Membership

Section 1. Membership in the Club will be on a voluntary basis and limited as follows:

  1. Regular membership: Age 18 and over are eligible to join the club as regular members and they will be entitled to participate in the management of the club, are authorized to hold office therein, and may vote upon all matters in which the members have an interest.
  2. Junior membership: Junior membership is extended to young people up to 18 they automatically transfer to regular membership. Junior members will enjoy the same privileges as regular privileges members except the right to vote or hold office. Any junior member must be accompanied by a regular member.
  3. Silver membership: Silver membership is extended to all members attaining 80 years of age. Upon 80 years of age members are exempt from paying dues.
  4. Honorary Membership: Honorary membership is awarded by a vote of the members for service. Honorary members pay no dues.

Section 2. Membership in the club will be terminated or suspended:

  1. Upon request of the member concerned.
  2. If the conduct of the member brings discredit to the club members and is voted out by the membership.
  3. If a member fails to meet his financial obligations to the club by the third meeting subsequent to the date on which it becomes due. This requirement may be waived at the discretion of the membership.

Article 3 Officers

Section 1.  There will be 4 officers: President, Vice President, Secretary, Treasurer elected by the membership. A Webmaster/Auctioneer will be appointed by the board.

  1. Open election will choose officers to serve for a period of one year.

Section 2. All officers will be elected by a majority vote of the Regular, Silver and Honorary members present, at the December meeting. A list of nominees will be compiled at the November meeting.

Section 3. Any Regular, Silver or Honorary member in good standing is eligible to hold office.

Article 4 Amendments

Section 1. These bylaws may be amended by a majority vote of Regular, Silver and Honorary members present.

Section 2. All members must be notified by mail 30 days before changes to the Bylaws are to be voted upon.

Article 5 Duties of the Officers and Webmaster/Auctioneer

The President shall:

  1. Preside at all meetings and generally supervise all matters of interest of the Club.
  2. Other duties that need to be addressed.

The Vice President shall:

  1. In the absence of the President, assume the duties of the Club President.
  2. Maintain the Club Library.
  3. Other duties as assigned by the President.

The Secretary shall:

  1. Record the minutes of each meeting; and read them at the next meeting; and maintain one (1) copy for the Club records.
  2. Receive new members by recording their names, addresses, phone numbers, and email addresses. He shall provide appropriate information on each new member to the Officers. All information about members shall be kept confidential.
  3. Oversee the preparation and mailing of the auction sheet to each member that doesn’t have an email address.
  4. Keep a record of the club property by description and estimated value.
  5. Send a get well card to each member who becomes sick and unable to attend a meeting; and send a sympathy card to the family for a Club member who has passed.
  6. Other duties as assigned by the President.

The Treasurer shall:

  1. Collect dues and other monies.
  2. Pay all financial obligations.
  3. Issue membership cards to new members upon receipt of dues.
  4. Sell raffle tickets and dispense door prize tickets.
  5. Calculate and collect the 5% seller’s fee and deposit it into the Club’s treasury.
  6. Other duties assigned by the President.

The Web Master/Auctioneer shall:

  1. Maintain an up-to-date website, making changes as necessary.
  2. Publish a monthly auction sheet and distribute by email for the upcoming auction; and notify members by email. (Non-email members will receive a copy by U.S. Mail from the Secretary.)
  3. Conduct the auction at each meeting and hand out coins purchased.
  4. Other duties assigned by the President.

Article 6 Meetings

Section 1. All meetings shall be conducted according to “Robert’s Rules of Order”.

Section 2. The regular meetings of the Club shall be held on the 3rd Monday of each month, weather permitting.

Section 3. The new Club year commences with the first meeting in January, at which time the new officers shall assume their positions for the coming year.

Section 4.  Special meetings may be called by the President.

Article 7. Dues

Section 1. The annual dues shall be ten dollars ($10.00) payable at the January meeting. New members admitted on or after the middle of the year shall pay ten dollars ($10.00).

Section 2. Effective January 2016 all members aged 80 years or older will be considered Lifetime Members and will not be required to pay annual dues.

Section 3. Any member delinquent for more than three (3) months shall be automatically dropped from the membership list and the mailing list.

Section 4. Any suspended member, under Article II Section 2B may be reinstated by a majority vote of the membership present at any meeting, and after a meeting with all four (4) officers.

Section 5. The annual dues for Junior members shall be five dollars ($5.00) payable at the January meeting. New Junior members admitted shall be five dollars ($5.00).

Article 8 Committees

The President shall appoint any committee considered necessary for effective operation of the Club or its’ activities.

Article 9 Guests

The privilege of attending the Club may be extended to persons interested in numismatics. All guests will be allowed to participate in the Auction for two (2) months, after which time they are required to join the Club.

Article 10 Affiliations

Section 1. Upon dissolution of the Club the remaining funds, after all outstanding debts have been paid, shall be disposed of in accordance with the wishes of the remaining membership at the time.

Second 2. The Club shall maintain National Affiliation through Club membership in The American Numismatic Association. Bel Mar Coin Club number is Co66214.

Article 11 Dissolution

Upon dissolution of the Club the remaining funds, after all outstanding debts are paid, shall be distributed in accordance with the wishes of the Club.
